Configure your optimisation strategy

Every Optimizer Method can be fully customised to match your organisation’s planning strategy.

After creating a new method, planners can define how the Crew Optimizer evaluates and ranks candidates by adjusting multiple configuration areas.

Weight Factors

Weight Factors determine how much influence each criterion has on the final candidate ranking.

The default optimisation methods include factors such as:

  • Travel Distance
  • Team Continuity
  • Contract Fulfilment

Additional weighting factors can be added depending on your planning strategy, including:

  • Cost Optimisation
  • Membership Bonus
  • Fairness
  • Spare Priority
  • Accounts
  • Job Priority
  • Skill Bonus

The total weighting across all factors must always equal 100%.

Planner Crews

Select which Planner Crews are included when running the optimisation.

Only crew members belonging to the selected Planner Crews will be evaluated.

Constraints

Define mandatory conditions that every candidate must satisfy before being considered.

Available constraints include:

  • Function matching
  • Region matching
  • Active Rate Card
  • Break times
  • Blocklist validation
  • Working hour limits

Crew members that do not satisfy the enabled constraints are automatically excluded from the optimisation.

Working Time Limits

Configure operational limits such as:

  • Maximum working hours per day
  • Maximum consecutive working days

These settings help maintain legal compliance and reduce scheduling conflicts.

Block Dates

Choose which unavailable crew members should be excluded from the optimisation.

Supported block types include:

  • Self-blocked
  • Dispatcher-blocked
  • Request-blocked
  • No-answer

Output Options

Define how the optimisation results are presented.

Examples include:

  • Prioritise existing spare crew
  • Number of suggested alternatives

Required Tags

Limit the optimisation to crew members matching specific tags or qualifications.

Notification Settings

Select the notification template that will be used when requesting suggested crew members.

Save and reuse optimisation methods

Once configured, each Optimizer Method can be saved and reused at any time.

Methods can also be shared with different visibility levels:

  • Personal – Available only to the planner who created it.
  • Company – Shared with all planners within the same company.
  • Tenant – Available across the entire SquidWeb tenant.

This allows organisations to standardise planning strategies while still giving individual planners the flexibility to create specialised methods for different customers, projects or operational scenarios.

Verifying a customer’s VAT Number is an important step for many businesses working with companies across Europe. Besides confirming that the VAT Number is valid, it is often necessary to keep a record of the validation for future reference.

SquidWeb simplifies this process by allowing users to validate VAT Numbers directly from a Contact. Once the validation is complete, the system automatically records the result and stores the confirmation document inside the Contact, eliminating the need to manage the process manually.

Verify a VAT Number

VAT validation can be started directly from the Contact profile.

Simply open the Contact and select Check VAT Number.

SquidWeb submits the VAT Number for validation through the VAT Information Exchange System (VIES) and returns the result within a few seconds.

If the VAT Number is valid, the Contact can continue through the normal business workflow. If the VAT Number is invalid, the result is also recorded so that the information can be reviewed.

Automatic documentation

Checking the VAT Number is only one part of the process.

After every validation, SquidWeb automatically creates a record of the verification.

The validation result is added to the Activities section, allowing users to see when the VAT Number was checked and whether it was valid or invalid.

At the same time, the official VIES confirmation document is automatically saved under Contact Documents.

This means there is no need to manually download, rename or archive the confirmation PDF.

Keep contact information organised

By storing VAT validation together with the Contact, all relevant information remains in one place.

Users can review previous validations at any time, access the official VIES confirmation document and maintain a complete history without leaving SquidWeb.

This helps reduce administrative work while keeping customer documentation organised.

Managing a project often involves coordinating multiple teams working on different tasks, locations or stages of the same production. Rather than treating every crew as a single group, SquidWeb allows planners to organise work using individual Project Crews.

Each Project Crew can have its own crew members, Crew Mode, location, rate card and operational information. To make it easier to follow the progress of each team, every Project Crew also includes its own Project Crew Status.

Project Crew Statuses provide a simple way to indicate the current stage of each Project Crew throughout the project lifecycle.

Available Project Crew Statuses

SquidWeb provides several predefined statuses that can be assigned to each Project Crew.

These include:

  • Quote
  • Design
  • Signing
  • Confirmed
  • Ongoing
  • Has Changed
  • Client Added
  • Cancelled
  • Closed

Each status represents a different stage in the lifecycle of a Project Crew, making it easier to organise projects and keep planning information up to date.

Updating the Project Crew Status

Project Crew Statuses can be changed directly from the Project Crews overview.

As planning progresses, planners can simply select a new status from the available list to reflect the current stage of that Project Crew.

Because each Project Crew has its own status, different teams within the same project can be tracked independently.

For example, while one Project Crew may already be Ongoing, another may still be in Design or Confirmed, depending on the project schedule.

Project Crew Status and Crew Mode

Although they appear together inside a Project Crew, Project Crew Status and Crew Mode serve different purposes.

The Project Crew Status indicates the current stage of the Project Crew and is updated as the project progresses.

The Crew Mode defines how attendance tracking, working hours and sign-off processes are managed for that Project Crew. Read more about it here

For example, one Project Crew may be using a self-managed Crew Mode while another relies on a Crew Chief to manage attendance. Regardless of the selected Crew Mode, each Project Crew maintains its own independent status.

Managing multiple Project Crews

Projects involving multiple teams often require planners to monitor several Project Crews simultaneously.

By assigning an individual status to every Project Crew, SquidWeb makes it easier to maintain an organised overview of the project and quickly identify the current stage of each team.

Combined with Crew Modes, locations, Crew Chiefs and crew assignments, Project Crew Statuses help structure the operational information for every Project Crew within the project.
